Fee management software for Indian schools
Acadika's fee management software lets a school set fee structures by class and cycle, issue invoices in bulk, apply approved concessions and late fees, and collect through the school's own UPI, cash or cheque. Parents pay from a link with no login. The office gets receipts, defaulter lists and collection reports. It is part of the Core plan, from ₹10,000 a year plus ₹3 per student per month.
Included in the Core plan and above, from ₹10,000/year + ₹3 per student per month (+ GST).
What you get with Acadika
Fee structures that fit your school
Create fee heads and structures by class, with monthly, quarterly, term, annual or one-time cycles and due-day rules. Assign to a whole class in bulk and override for one student.
Bulk invoices with a preview
Run invoices for many students at once and see a dry run before anything is issued. Cancel an invoice if it was raised by mistake.
Concessions with approval
A concession starts as a draft. An approver approves or rejects it, and an approved concession can be revoked later.
Late fees by policy
Set the late-fee policy once and run it when dues pass their date, instead of calculating penalties by hand.
Pay links and UPI
Families pay from a no-login link to the school's own UPI QR or UPI ID, so the money goes straight to the school. Cash and cheque entries and refunds are recorded too.
Reports the office needs
Dues summary, defaulters, collection report, student ledger and a collection forecast, so the accountant is not rebuilding them in a spreadsheet.
How it works
- 1
Set fee heads and structures
Define what the school charges, for which classes, and how often.
- 2
Assign to students
Assign a structure to all students in a class in one go, then adjust individual students where needed.
- 3
Issue invoices
Preview the run, then confirm. Autopilot billing can issue invoices every month after a preview and your confirmation.
- 4
Collect and reconcile
Parents pay by link or UPI. When a family marks "I've paid" on a UPI payment, staff confirm it and a receipt is created.
How does a school collect fees online in India?
A school can collect fees online by sending each family a payment link tied to their invoice. In Acadika the link opens without a login and shows the school's own UPI QR code and UPI ID, so the money goes straight to the school. The parent pays and taps "I've paid"; staff confirm the claim and Acadika creates the receipt.
Offline payments still matter. Cash and cheque payments are entered by staff against the same invoice, so the ledger stays in one place.
What can Nova and AI add to fee management?
On the Staff AI plan, Nova can answer finance questions in plain language, list defaulters, run invoice runs and record offline payments after you confirm. AI also drafts fee reminders for approval and can import existing fee documents (PDF, xlsx or csv) for you to approve before anything is saved.
Acadika compared with spreadsheets and paper registers
| Acadika | Spreadsheets and registers | |
|---|---|---|
| Fee structure | Defined once by class and cycle, assigned in bulk | Copied class by class, easy to miss a student |
| Invoices | Bulk run with preview, or monthly autopilot | Typed or printed by hand each cycle |
| Concessions | Draft, approve, reject or revoke | Noted in a margin or a separate sheet |
| Late fees | Policy-based run | Calculated manually |
| Payment | Pay link, school UPI, cash, cheque | Cash counter and bank statement checks |
| Receipts | Created for each confirmed payment, printable | Handwritten receipt books |
| Defaulters | Report on demand | Built by filtering a sheet |
| Follow-up | Reminders drafted for approval (Staff AI) | Staff call or message each parent |
"Spreadsheets and registers" describes common manual practice, not any specific tool.
