Teacher substitution management without the morning scramble
Teacher substitution management means finding a free teacher for each period when someone is absent. In Acadika an admin picks from the free teachers for any period. With Nova on the Staff AI plan, a teacher reports leave and Nova proposes cover for every period: same subject first, then class range, then lightest load. The principal confirms once.
Included in the Core plan and above, from ₹10,000/year + ₹3 per student per month (+ GST).
What you get with Acadika
Free teachers for any period
See who is free in a given period and assign them as the substitute, straight from the timetable.
Cover plan for the whole day
Report a teacher's leave and get a plan covering every one of their periods, not one period at a time.
Fair choices
Nova prefers a teacher of the same subject, then one who teaches that class range, then the teacher with the lightest load.
One confirmation
The principal reviews the plan and confirms once. It is applied in one go.
Undo and auto-revert
Cover can be undone, and it reverts after the day so the regular timetable is unchanged.
Cover notices
Cover notices go out on WhatsApp once it is live for your school (rolling out).
How it works
- 1
Report the leave
The teacher or the office tells Nova by voice or chat, or an admin opens the timetable.
- 2
Review the cover plan
Nova lists every period the teacher would have taken, with a proposed substitute for each.
- 3
Confirm once
The principal confirms and the substitutions are applied together.
- 4
Day ends
The cover reverts after the day. If a plan was wrong, undo it.
How do schools manage proxy teacher arrangements?
Many Indian schools call this the arrangement period or proxy teacher system. Every morning someone checks who is absent, works out who is free, and writes names against periods. Acadika keeps this on the timetable: the admin sees the free teachers for any period and assigns one. If a timetable slot was left unfilled, the generator already suggests a substitute.
How does leave cover autopilot choose a teacher?
Leave cover autopilot runs through Nova and is part of the Staff AI plan. For each period of the absent teacher, it looks at who is free and ranks candidates in this order:
- A free teacher who teaches the same subject.
- Then a free teacher who teaches that class range.
- Then the free teacher with the lightest load.
